Who Gets the Message When Something Breaks?

Before asking how quickly someone can build your first voice agent, ask who maintains it after launch. If a seller calls Saturday and the calendar connection fails, whose job is it to notice and recover the appointment?

That question helps separate the purchase of a configurable platform from the purchase of an operating workflow.

Vapi presents an API-first voice-agent platform with configurable conversation flows, telephony and integrations, orchestration, testing, and monitoring. It is a reasonable option for a team building a custom calling experience. The platform supplies building blocks; the exact seller workflow depends on the application and implementation you choose.

Write Down the Application Around the Agent

For an investor, the application includes more than instructions for a conversation. Someone needs to decide how the system matches a caller to a contact, distinguishes multiple properties, retrieves prior promises, and assigns the next action.

Then there are actions outside the conversation: creating an appointment, updating an opportunity, notifying an acquisitions rep, or pausing follow-up after a human takes over. Each needs a defined success condition and a visible failure state.

Ask your builder for a short map of those connections. For each connection, name the record it can read, the changes it can make, and the person responsible for recovery. You do not need to become an engineer to require this information.

Use the Duplicate-Action Test

Try a synthetic booking request and deliberately repeat the same action through the test environment. Your expected outcome should be one appointment, not two. Ask how the implementation recognizes a retry after a delayed response.

Next, make the destination unavailable. The agent should not claim that an action succeeded unless the application has evidence it did. Your operator needs a task or an exception to resolve, rather than an optimistic summary that hides the failure.

Finally, test a contact with incomplete information. A missing property address should remain missing until clarified. It should not be guessed from an unrelated record merely to finish a workflow.

Budget for the Work You Will Keep

Compare proposals with the same scope: configuration, integrations, testing, maintenance, support, and usage. An attractive platform usage rate is not the entire cost of a maintained business application. Equally, a bundled product is not automatically cheaper for a team with specialized requirements and engineering capacity.

Ask who owns the code and configuration, how you export your records, and how a replacement maintainer would understand the system. Get a handover document while the original builder is still involved.
