Count the Right Thing at Each Stage

A team imports a thousand property records and calls them a thousand leads. Later, management asks why so few became appointments. The first question should be what the team meant by “lead” in the first place.

A property selected for research, a reachable contact, a person who responds, and a qualified seller opportunity are not the same unit.

Do Not Skip the Communication Gate

Property and contact data do not automatically establish consent to automated calls or messages. Your business must determine the permitted audience, channel, configuration, and applicable requirements before activating outreach.

Keep suppression and opt-out information with the operating record. A later import should not quietly reintroduce someone your team has already excluded. Test that behavior in a controlled environment before connecting a large dataset to any communication workflow.

For a seller who responds through an approved channel, preserve the actual request. A callback next month needs a different next action from an appointment request today.

Diagnose Whether the Gap Is Data or Execution

If your selected properties are consistently outside your criteria, improve research and selection. If interested sellers respond but nobody follows through, adding more records will not explain the existing handoff problem.
