A hard-money lender’s intake process should establish whether there is a concrete transaction, identify the requested financing purpose and timeline, and show what information still needs review. It should not treat a large requested loan amount as evidence of a strong opportunity.
For an originator, the expensive interruption is an urgent-sounding inquiry that lacks the information needed for a useful lending conversation.
A property address is missing. The borrower’s role is unclear. The requested funding date has no supporting transaction context. Several people spend time asking the same preliminary questions.
Your intake process should make those gaps visible before the file reaches the next decision-maker.
Start with the transaction
Use your lender-approved questions to capture:
- •The property and the borrower’s relationship to it.
- •Whether the inquiry concerns a purchase, refinance, or another supported purpose.
- •The current transaction stage.
- •The requested timing and what drives it.
- •The proposed work or business plan, where relevant.
- •Which information is reported and which evidence is available.
- •The next human responsible for review.
Keep the description factual. “Borrower requests funding by Friday” is not the same as “Friday funding is available.”
Do not let the intake conversation make the promise.
Separate information from supporting evidence
A usable file distinguishes:
Scroll sideways to compare all columns.| Item | What intake can capture | What still requires review |
|---|---|---|
| Property | Address and reported asset type | Identity, suitability, and supporting property information |
| Transaction | Borrower’s description of the deal stage | Relevant agreements and actual requirements |
| Project | Reported scope and planned use | Budget, feasibility, and lender review |
| Borrower | Stated role and experience | Required verification under the lender’s process |
| Timing | Requested date and stated dependency | Whether the team can support that timetable |
This is an operating checklist, not an underwriting model or a universal list of required documents.
Different products and lenders require different evidence.
Give missing information an owner
“Not enough information” is too vague to move a file forward.
Specify the next request and who owns it. If the borrower needs to provide a document, use the lender’s approved secure channel. If the question concerns program fit, assign it to the person authorized to answer.
Keep sensitive documents and financial details out of ordinary messages and public integration payloads.
An originator should be able to open the record and distinguish a borrower delay from a file waiting on the lender.
Book a lending-workflow walkthrough to inspect how intake, requests, and human review connect.
Prioritize without confusing the score with approval
Priority can help a team decide which file to inspect first. It does not establish that a borrower qualifies or that a transaction should be funded.
GetsYou’s published capability catalog describes hard-money lead prioritization using deal concreteness, timing, borrower context, and authority. It explicitly distinguishes work prioritization from credit decisions.
Your lender retains program, pricing, credit, and approval policy.
A score should come with its evidence and missing information. Otherwise, it can make an incomplete file look more certain than it is.
Where GetsYou fits
Voice AI and SMS AI support configured borrower conversations. CRM context and follow-up keep the next request available to the team.
Use the system to organize the work before and between human lending decisions. Do not present it as an autonomous underwriter or a guarantee of approval, terms, or funding.
Verify the actual enabled workflow, secure destinations, and handoff behavior during setup.
Test an urgent but incomplete inquiry
Use a fictional file.
Have the borrower request a near-term closing while leaving important information unresolved. Check whether the record preserves both the requested timing and the gaps.
Then supply an update. Can the originator find the new evidence without reconstructing the conversation? Does the outstanding request change? Is the correct person responsible?
The test fails if urgency becomes an unsupported commitment or if a preliminary answer is presented as approval.
Measure progress through real stages
Track inquiries, reviewable files, human decisions, approved transactions, and funded loans separately.
Also review repeated questions, unowned requests, and files that appeared ready but lacked essential information.
More conversations are useful only when the team can turn them into an informed next action.
Book your lending-workflow walkthrough. Bring a fictional borrower inquiry and your own intake requirements. Ask us to show the missing-information queue and the human decision boundary.
