Follow up on a partial mortgage application by identifying its current status, the borrower’s actual obstacle, and the next approved action. Do not send the same “finish your application” message to someone whose file is already under review.
For a broker’s team, a generic reminder can create work in both directions.
The borrower thinks the upload failed and sends it again. The loan officer receives another reply to interpret. A document may be waiting for review while the system continues asking for it.
The problem is not always borrower motivation. Sometimes the follow-up is responding to an outdated picture of the file.
Separate application progress from document progress
These are related but different.
A borrower may have submitted an application while still needing to provide requested documents. Another may have uploaded a file that a reviewer has not accepted. Someone else may need help with the application itself.
Use working queues that reflect the next action:
- •Application assistance needed.
- •Specific document outstanding.
- •File received and awaiting review.
- •Human clarification required.
- •No current borrower action requested.
These are suggested operating categories, not a universal loan-system status model.
Ask what is preventing the next step
A useful conversation might establish that the borrower cannot open the application link, does not understand a request, needs more time, or believes they already supplied the file.
Record the actual obstacle and route it appropriately.
Do not ask the borrower to repeat sensitive information in an ordinary text thread. Direct them to the lender’s approved secure application or document process.
The message should explain what to do, where to do it, and who can help.
Send a request that matches the current file
Here is an original operational example:
Hi [first name], this is [company]. Your current request is [borrower-safe request description]. Please use the secure application or upload page already provided. If you need help with the request, we can connect you with [approved team/contact].
Avoid including account numbers, government identifiers, tax details, or document contents in the message.
If the borrower says the document was already uploaded, check the system before repeating the request. “Received” and “accepted after review” should remain distinct.
Book a mortgage-workflow walkthrough to inspect the application, document, and reviewer handoff.
Do not let a checklist override disclosure responsibilities
For mortgages covered by the applicable Loan Estimate rules, the CFPB explains that a lender cannot require additional verification documents before providing a Loan Estimate once the required information has been supplied.
Your compliance team must determine the obligations and timing for the actual transaction.
Keep those responsibilities separate from a software label such as “documents incomplete.” An internal task list is not a legal determination that no application exists or that a required action may wait.
Where GetsYou fits
GetsYou’s capability catalog describes status-aware mortgage conversations, secure application and upload paths, reviewer handling, and missing-document reminders.
Voice AI, SMS AI, Nurture AI, and CRM context support the configured workflow. The lender supplies the approved application destination, request checklist, contact rules, and human handoff.
The agents do not approve credit, promise a rate, or replace the lender’s review.
Demonstrate the actual connections before relying on status-aware messaging. A general CRM integration does not prove every application event is mapped.
Test the file changing while follow-up is pending
Use a fictional borrower file and approved test channels.
First create an outstanding request. Then mark the requested item received before the next reminder is due. Inspect the resulting communication and reviewer queue.
Repeat with an unreadable test file that needs replacement. The next message should reflect the approved correction request rather than treating it as a first-time upload.
Finally, test a borrower asking for a person.
These checks examine the workflow. They do not establish regulatory compliance or an approval-rate improvement.
Measure the right outcomes
Separate applications started, submitted applications, document completion, reviewer acceptance, and funded loans.
Review repeated requests, unresolved borrower questions, and time spent clarifying status. A reminder sent is not an application recovered.
The goal is to help the borrower complete the next legitimate step while giving your team an accurate view of what remains.
Book your mortgage-workflow walkthrough. Bring a fictional partial application and one document exception. Ask to see what changes when the file changes.
