Start With the System You Want to Own
A Salesforce-based CRM can make sense for an investor with several departments, defined processes, and someone responsible for administration. The question is not whether Salesforce is powerful. It is whether your team wants to own that kind of system, and whether an investor-specific implementation gets you close enough to the way you work.

Next, ask for a view of the work due today. The acquisitions rep should understand which property needs a callback. The transaction coordinator should see the correct deal’s deadline. The manager should be able to count opportunities without counting the owner twice by accident.
This exercise tests the record structure rather than how attractive the dashboard looks.
Put Administration in the Buying Decision
Before signing, get practical answers about responsibility:

- •Who maintains permissions when someone moves from acquisitions to dispositions?
- •Who investigates a failed integration or a workflow that stopped creating tasks?
- •How do you test a change before it affects the whole team?
- •What happens to customizations and exports if you leave?
A capable internal administrator or implementation partner can be an advantage. The work becomes a problem when the business has not budgeted time for it or assumes the software vendor owns every custom decision.
Ask for a written distinction between included onboarding, ongoing support, and separately scoped customization. Avoid comparing a subscription quote with a fully implemented operating system as though they were the same purchase.
Compare the Work After a Conversation
For a second demo, use a seller who calls back after an initial qualification. The caller changes the timeline and asks for an appointment. Follow the record through the update, the calendar, and the next owner’s queue.
Measure whether the team can retrieve the relevant context and act on the new request. Do not award points merely because a task or summary exists somewhere. An update needs to reach the person or automation responsible for the next step.
