Your CRM May Contain Years of Business Decisions

A custom Podio workspace can reflect how an investor’s team actually operates: property relationships, task conventions, forms, and small automations added over time. Moving away from it means understanding those decisions before replacing them.

Inventory Relationships Before Fields

List the record types your team uses: people, properties, opportunities, buyers, tasks, and documents. Then draw which ones point to each other. The relationship can matter more than the field name.

A single property may have several negotiations over time. A person may be both a seller and a buyer. A task may belong to a deal rather than to a contact. If the destination cannot represent those distinctions, decide how to preserve the information before importing anything.

Pay attention to attachments and comments. They may contain approvals, access instructions, or changed terms that never became structured fields. Decide what needs to remain searchable and what can be retained in a read-only archive.

Find the Hidden Workflows

Ask experienced team members what happens after they change a status. Then compare their explanation with the actual automation inventory. A workflow may create a task, update another record, notify a person, or start communication.

Identify external services that participate in those actions. Do not assume cancelling Podio also stops every connected process. Conversely, do not assume an export carries the logic into the destination.

For each workflow, make a keep, replace, or retire decision. Name the new owner and write down the event that should trigger the work after the move.

Reconcile a Small Import

Use an authorized sample with deliberate variety: multiple properties, duplicate names, an active appointment, a declined lead, and a record with attachments. Count the source records and destination records, then inspect the relationships manually.

Verify the latest next action and the restrictions on outreach. A correct phone number does not mean the right follow-up is scheduled. Preserve opt-out and suppression information before enabling any communication.

Keep a reversible cutover plan. Establish which system is authoritative during the transition and prevent both from contacting the same seller. Do not delete the old workspace until retained history and active work have been reconciled.

Compare the Daily Work, Not Just Migration Effort
